We use Submittable for online grant application review and processing and workflow automation. We used to have applicants fill out Application Forms in MS Word templates, circulate them to review committees via email and gather feedback and approvals by email. Submittable has allowed us to automate a variety of processes, including i) centralizing all application processing online in a single site using customizable logic-based form templates, ii) making it easier to manage workflows like assigning applications to review team members, recording interactions, and following up queries externally with applicants, as well as internally with review team members) communicating application decisions, and iv) managing additional or follow-up forms processing (e.g., collecting bank wire info for approved disbursements), etc. It also acts as a central repository for past/archived applications for easy reference or learning retention to help with new application decisions.
  • Form-logic: Allows application forms to adjust based on answers to crucial questions (if-then-else) so that all applications don't have to see extended questions that may not apply to them or their situation.
  • Messaging Platform: This platform allows interactions with applicants or internal review teams to be associated with the specific submission, allowing for an easier, complete view of an application being considered and as an audit trail.
  • Good Voting/Polling Management: It makes it easier to record the latest vote/feedback from assigned team members and allows customization of the vote/feedback review as a form. It also summarizes the votes for easy review in a submissions dashboard view.
  • Subscribe to Types of Activity Alerts: It would make tracking of key activity or status of each submission a lot easier if all assigned review team members could subscribe to key actions taken on a submission (e.g., updates/edits by the applicant, responses to queries over the messaging platform, etc.) As the central workflow coordinator, I only get alerts or notifications if an applicant has submitted a new application or updated their submission or if I have been directly messaged. I then have to triage all activities and decide if I need to notify review team members of significant activity on a relevant submission that might require their attention (e.g., an answer by the applicant to a query that might alter a review team member's vote/feedback). Think of it like online discussion boards where you might want to sign up for alerts if there have been responses to a question you posed or a topic you expressed an interest in.
  • More User-Friendly Reporting Features: The ability to rename Report Column Headers. Right now, report field names are based on question text in the submission form. For example, instead of a Report Field being called "New Applicant," the default reporting tool labels the Report Field "Is this your first time submitting a Grant Application to XYZ?"
  • More Granular Access/Permissions Control: It would be great to allow auditors read-only access without having to add them to the Review Team.
The best solution we found for Grant Application Processing is where applicants can submit their grant request, make updates in response to queries, get updates on status, and submit follow-up progress reports if approved.

We use Submittable for all of our grants and scholarship needs each year. It has helped us shorten processes and track our applicants better. We process 300 applications a year and the program participants find it very user friendly. The customer support is also great for us and for the applicants.
  • Efficiency
  • Program and Process Management
  • Quick turnaround
  • More options in the form building
  • More options for the emailing
  • Unlock the pre-set emails instead of click to edit
Submittable is great for grant management, grantmaking, and scholarship awards. It's a very useful tool also when there are multiple reviewers and committees involved in the assessment of the application. The table feature is helpful, but to download the information in a usable report is a pain. Overall a very useful tool for funding.

We use it for multiple things: grant application submissions, our state film incentive applications, and reporting needs. There are multiple grants opportunities and it keeps track of them in different folders, so it's easy to keep up with what we have going on and how many people have jumped in.
  • Storing video files
  • Integrating existing applications to an online process
  • Storing past and present project data for reporting purposes
  • Reporting can be a bit clunky
  • Personalized graphics on submissions
  • Requires all users to create an account...can be a bit annoying
Fantastic customer service during the entire onboarding phase, as well as monthly checkups to ensure user satisfaction. When a question has arisen they are always quick to respond. The reps know the product really well and any issues are resolved within a short timeframe.
The best feature for our film incentive folks has been the ability to come back to the application at a later date for editing. In the past, it's taken multiple submissions for some productions to get it right...Submittable makes it so they can get me the info I need to make a decision on the first try.

We use Submittable for submission and review for our grant programs, board nominations and committee organization, as well as workshop volunteers. Submittable provides a very simple platform that's easy to use and navigate while providing security, flexibility and decent reporting features. Our previous vendor was stagnate and not flexible whatsoever.
  • allows a one-stop-shop for reviewers
  • allows for blinding of documents and review comments
  • is very easy to change and adapt for basic forms
  • The reporting features are basic and although they work well, the output options are flat.
  • I wish there was an option to set a report up for not only to download the raw data but also to set to a presentation mode. As it currently stands, no one on my committees can read the data we pull from reports unless we create a new document that just displays the data.
  • I wish there were different sub levels within the security settings for users.
It's very easy to learn and use and very flexible so you can make changes as you go. We appreciate the blinding of documents and reviewers and also being able to communicate with submitters within the tool. Although we do not currently use the financial features, for a smaller organization, this would be a huge benefit.

Our Foundation uses Submittable to manage our grant administration processes for two external grant programs (and one internal program for our employees). Before using Submittable, our application process was manual, with a high administrative and IT support burden. Since making the switch to this platform, our efficiency has increased significantly.
  • Easy to use! Resulting in confidence and independence when using platform.
  • Exporting reports to Excel files makes internal data sharing a breeze.
  • Tech support for grantees frees administrators from resolving issues on their own.
  • Automatic and customizable communications with applicants and grantees.
  • I'd like to see applications that are in process but not complete.
Submittable has been so helpful on an application requiring a photo. Before using this platform, all my grantees had to email me their photos individually and then save them in a file. Now, the needed file is required to complete an application, and I no longer have to continuously follow up with applicants requesting more info.

We use Submittable to take applications for fellowships and programs. We also use it for processing forms, surveys, and other various RSVPs.
  • allows an applicant to save an application that is in process
  • connects recommendations directly to the specific application
  • ease of uploading recommendations for recommenders
  • Would like to see the ability to have management edit an application on the backend, as applicants sometimes make mistakes and want us to fix them.
  • Needs a better way to edit a problem with a recommender's email address on an application. Currently, the only way is to open a submitted application for editing, which is not ideal after the deadline has passed.
Manages applications well. Can respond to applicants with messages via the system. Allows applicants to track the progress of their application.

We use Submittable to administer two award programs. It allows us to combine the entries in a streamlined way and then conduct judging for the award winners. It’s all done digitally, and it saves lots of time. Our award program was not affected during the pandemic because we had already done the online judging. It’s been an invaluable tool.
  • Maintain archive of all entries over the history of your account.
  • Stream lines the collection of documents.
  • It used to be easier to download submission files from the submissions screen; now, you have to run a report and request a download.
  • Giving access to reviewers could be easier. It would be nice if we could create the email account and password and then give that to the reviewer. Right now, the invites are often junk, spam, or quarantine.
Submittable is a great platform for collecting entries for review in various settings. Whether it’s grants, awards, contests, or such events, It offers security, vetting of people to a high degree, and a non-destructive history, which can be essential if you are audited. The platform is easy to set up and can be used in simple or complex ways for judging and reviews. I am unsure in what cases the platform would be unsuitable; it just works.

I use it to manage submissions for the literary journal I run, and also entries for writing competitions. I receive on average about 2-3000 submissions each year and it makes managing the submissions, assigning them to readers and judges, and notifying submitters easy and efficient. It has saved me many hours of work compared to when I managed everything via email submissions.
  • Accepting submissions on my behalf
  • The review process is easy, efficient and I can swap judges out for different competitions
  • Contacting submitters and notifying them of status.
  • They removed the ability to easily see who had paid for extras in the submissions list for each project. I now have to generate income reports which isn’t as quick and easy. Despite repeated requests for this update to be reverted I’ve had no response.
It works well for my needs to manage submissions and that is all I need it to do.

We use Submittable to manage grant applications, training applications, site visit reports, and final reports. Submittable gives us a central system for multiple reviewers to access, review and vote on applications. These are reviewers both within our organization and those from outside of our organization.
  • Easy system for people to apply for grants.
  • Accessible way for people to access, review and vote on applications.
  • Integrated ways for grantees and reviewers to report on grants.
  • The level of customer service depends on what you pay -- I wish everyone got a real time chat or phone access.
  • They have done a lot to help customize reports which is helpful.
You have to have enough applications in a year to justify the cost. As a small foundation, it became cost effective once we had multiple grant applications each year to justify the cost per application. It is so much easier than the old paper application days!

Submittable has been helpful in implementing educator grants and scholarships for the college students within our program. A challenge that our organization faces is not being able to directly pay educators due to our partnership with the District. This means we have to go through their financial system and because of this Submittable has been instrumental in allowing us to communicate vital information in a professional, efficient and productive manner.
  • Response Templates
  • Tutorial videos
  • Reports
  • More fields in the eligibility form would be helpful. Such as including a text box for applicants.
  • More 1:1 training without it being cost prohibitive.
  • I'd love to be able to move the initial forms like I'm able to do for the live projects.
Submittable is extremely helpful when it comes to communicating grant decisions to a group of applicants due to the response templates. It also allows applications to go through several review stages which gives the organization the opportunity to have different sets of people provide input.

Submittable is a good basic grant application intake and processing tool. The forms builder is excellent and easy to use with drag and drop functionality. You first build your form and then a "project" that it will be part of. The forms support branching logic and you can customize the confirmation messages for different types of forms. Once you have an application submitted, you can reopen it for editing so that the applicant can make corrections. There is also a good messaging tool built into the submission review process that allows you to keep communications about a particular submission connected to that submission and not in a separate silo in Outlook. There are some good basic reporting and filtering tools too. Where Submittable comes up short is in acknowledging and fixing software bugs. The reflexive response from customer service seems to be that everything is fine, so you have to be persistent to get them to see why a malfunctioning date filter is a big problem when you need accurate data in your reports for payments or to analyze your data. New features roll out regularly but fixes for ongoing issues are much slower. Submittable is slowing becoming a better platform for foundations but new features (such as linking submissions to an agency UEI/EIN) don't apply to previously submitted forms and applications, so you will always have an incomplete picture of the relationship in Submittable. Advanced reporting looked promising but in actual use it's a kludge with data field labels that require so much manual work that it's usually just easier to download your data to Excel on work on it there. If you are a small foundation with a simple process flow that is just getting started with an online grant application system, Submittable could be a good starting point and is much better than just using Microsoft/Google Forms. You can upgrade to something more advanced and purpose built later if needed. We've outgrown Submittable and its limitations but it helped us clarify what we need in a grants management system.
  • Online forms
  • Data reporting
  • Customer support
  • Implementing software fixes
Good if you are just getting started with online application forms for grants. Not so good if you have more advanced needs for data reporting. Also not great to be a fairly long term customer who can't take advantage of recent changes, because they provide no automatic or even manual way to link older submissions to the new grantee profiles based on an applicant's UEI/EIN.

Grant management: application submission and stage management, providing technical assistance, tracking reporting documents and forms, communication with grantee, Dept. of Social Services, and other LIIF team members, data reports.
  • Database of our child care providers and their grants
  • Managing communications from email, notes section, ability to pull up review while on calls, attaching necessary documents
  • Segmenting the data by project
  • Labels! Please allow us to segment these out by project and not have a complete running list of all labels ever used...the scrolling is getting out of hand!
  • Better document retrieval and storage - documents uploaded to the application are not easily viewed and I often have to download them, making this time-consuming.
  • When closing out a document, the submission returns you to the top of the page instead of anchoring to your location.
  • Make it easier to pull data!
This has worked well for most of our grant management. We do not use it for record-keeping or tracking employee data, such as technical assistance hours.

My organization uses Submittable for grants and funding opportunities. We post between 4 and 6 funding opportunities each year, accept grant applications, and have panelists review applications to select our final roster of grantees. Applicants can fill out the grant questionnaire and submit corresponding documents. Additionally, we can communicate to applicants through the portal should information/documents be missing.
  • Great customer service.
  • Reviewers are able to see all documents on one screen instead of opening multiple windows in order to review the application.
  • Applications are easy to build and edit.
  • The review portions is user friendly.
  • Applicants find the forms easy to use.
  • The CRM functionality is new and not user-friendly for those not using UEIs to track applicants.
  • There doesn't seem to be an easy or cost effective way to use an outside CRM source.
  • Limited functionality with multiple languages - we need to build one application in English and another in Spanish to meet the needs of our users.
We love using Submittable for our grant applications. Sometimes, we've run into issues with filters inside the system not clearing -- and we lose access to some of our information. Submittable Customer Service is quick to respond and assist us in solving our problems quickly to get back up and running. We find their training videos to help us learn new ways to use the system.

My organization uses Submittable to accept applications to competitive arts awards and grants. It helps us organize and adjudicate all applications (often hundreds per program). It also helps us communicate with applicants.
  • Application Organization.
  • Flexible review systems.
  • Easy Communication with applicants and reviewers.
  • I'd love to be able to bulk send attachments that are specific to each applicant.
  • I wish there were support you could chat live with on the site instead of email (though email is pretty swift, sometimes the question needs to be reiterated through a few emails).
Submittable is an amazing platform for accepting arts applications since the upload capability is very in-depth. I don't really like how the conceal feature automatically hides some fields from reviewers that I don't want to be hidden.

We use Submittable primarily for facilitating our grants management process and managing our calls for artist opportunities. This platform streamlines the submission and review processes, enabling us to efficiently handle a wide array of applications and submissions.
  • Streamlining the review process
  • Verifying application information
  • Automating processes
  • Easy form builders
  • Inclusion of the ability to rank preferences in an application form response, i.e., rank the following in order of preference.
  • Easier way to navigate between applications within a project
Submittable addresses several key challenges for us, including the simplification of receiving, organizing, and reviewing grant applications. However, for smaller, simpler tasks, like managing a straightforward call for entries, it can feel like we're using a Ferrari to take your grandma to bingo- a great experience with friendly UX, but not fully utilizing the capabilities of the software and expensive for the use case.

Submittable is used for our applicants to submit their requests for funding through our grant opportunities. Internally, we can review and adapt our applications to best-fit the organizations we are working with. Submittable takes out the organization load that comes along with one-by-one application requests and allows us to categorize and project manage various applications at one time. We use this product for all our applications and also for data gathering.
  • Project Management: Review Processes between internal users are great. You can allow for different permissions based on their requirements for each project.
  • Reducing Barriers: With Submittable you can make questions as simple or as complex as you want. It's also great that you can allow applicants to invite colleagues to assist their efforts in filling the application.
  • Labels: This is a great tool to use internally as you can apply as many labels as you wish to each application that comes through - then later, sort by each.
  • Lack of CRM: At this time, there is a surface-level CRM that allows us access to the history of applications through one organization (if everything was set up correctly). But, unless you put the work into your own methods, this tool is just 'ok' as is.
  • Limited Customization: Specifically for the labels, you cannot customize the color. Small, but very important detail.
  • Automation: Requires using third party platforms.
Submittable does a great job at allowing organizations to create their own application process from publish to review. I think the ability to assure all details can be exported into an excel allows the reviewing process to be even better when extracting data for future reporting or reflecting on any impact.

We use Submittable as an applicant platform for our grants program. it helps keeps the applications in an easy and clear folder and allows the review team to look them over equitably and in their own time.
  • user friendly
  • intuitive interface
  • good communication
  • Ability to work with additional inboxes
  • more accessible financially
  • more frequent updates on product changes
Submittable is great if you have a manageably-sized program that you're looking to manage submissions for. They gave us a discount as a non-profit and were always personable in their interactions. If you have a program with a very large volume of submissions, it may be more difficult to use, especially if you need to manage a lot of different programs at once.

We use submittable to gather applications for our paid internship and study abroad scholarship opportunities for university students in Montana. We get around 100 applications annually, and expect this to grow significantly in the next 5 years.
  • Duplicate applications from year to year.
  • Assign reviewers.
  • Track the submissions process.
  • I could use a reminder to update the automatic reply when duplicating new application forms from year to year. By the time 365 days have passed, I've forgotten to update this.
Submittable has worked great for us. It seems to work less great for the university's faculty review process. Then again, I think the people designing that process just overcomplicated it.

We use Submittable for scholarships, volunteer applications, and youth program planning. It supports scoring equitably and inclusively. It allows for collaboration when it comes to teams working with different teachers, school districts, and professionals. As for our scholarships, this is the first program that has met all our needs to ensure we are leading with equity and anti-bias.
  • Scoring
  • Collaboration on forms.
  • Tags for extra layers of organizing.
  • Flexibility for form creation - including branching!
  • Continue to support more form design flexibility.
  • Ability to hide a form question without deleting it from the existing form - for example, once a shift is filled - it'd be helpful to hide it so other shifts are shown as high need but without changing already entered responses.
  • It would be great to see more auto-label style functions for exporting and reports and ease of data organization.
I think of all the programs available when it comes to having multiple types of forms as a non-profit organization, and this is at the top of the list! Scoring, Auto-Labels, and Branching are AWESOME!

I used Submittable to manage a portfolio of grant programs and projects that are used to fund innovative programming across Tennessee. These projects are focused on increasing student success and enhancing innovative practices in higher education. The projects have varying terms, objectives, scopes, and funding amounts. The Submittable platform allows for management, review, tracking, and archiving of these projects.
  • Drag and drop form creation.
  • Customer services.
  • Quest to update and provide the best experience.
  • Attentiveness to my perspective as a customer.
  • Ease of use and easy to adopt/learn the system.
  • Allowing of sharing of project across users.
  • The internal role differentiation could be more robust.
  • Changing/updating original submissions are not as intuitive as initial creation.
For tracking projects over time, Submittable is fantastic. There are lots of types of forms that can be created to match and fit any situation. Submittable is great at customizing a project to fit the needs of the customer. This platform might not be so good if there is something that doesn't need to be tracked over time. For instance, a survey or scholarship application. Submittable is good for allowing multiple users to interact with a submission. However, if this doesn't need to be looked at in the future, this tool might be too powerful. With all the features, something simpler could work more efficiently. However, when more eyes need to be on a document, Submittable is useful and up to the task.

We use Submittable to run our sub-grants program, all the way from eligibility screenings and applications to quarterly and final progress reports. The submittable platform allows us to keep all grantee information in one place while being able to assign scoring sheets to our board members. Submittable will enable us to determine what projects we would like to fund based on their alignment with our organization's mission and vision and oversee the progress of those projects.
  • Data collection.
  • Reports
  • Rating submissions.
  • The functions could be organized in a more user friendly way.
Submittable is great for determining awards for grant programs as well as reporting on the progress of the awarded projects. Although it makes these processes easier, it is not appropriate for less technologically inclined users. To manually download and print out applications and assessments for less tech-savvy users is quite cumbersome.

We run many scholarship and prize applications. Submittable allows us to collect responses all in one place to be reviewed. At any given time we're managing 10+ applications and this platform helps to make sure that we don't drop any entries or make over sighted mistakes. It's nice to allow users to upload documents here instead of copying into an email as sometimes used to happen.
  • keeping things in one place
  • allowing for multiple projects at once
  • downloading submissions option
  • user friendly interface for our clients
  • un-intuitive layout for backend users like me
  • hard to set up automated replies
  • unable to turn off status read or not which freaks our clients out
  • Hard to get to the actual submission
It's great for programs like us that use it for scholarships, writing contests. I think it would be great for use in arts submissions. I'm not sure how it would look for job applications etc. It's great for specific time period applications. It's less great for rolling applications because there's no way to hide old submissions. I work by project not by all submissions total and I feel that Submittable is built for looking at all submissions at once.

We use Submittable to run multiple grant programs that range significantly in size and application pool. We don't know of another platform out there that creates great online applications and then application review and scoring mechanisms that are also easily assigned to other partners/reviewers. Not only is it an efficient way to handle applications, it's secure -- since we ask for financial data with some programs, and there are also lots of reporting options with the platform that serve us well, especially for reporting to our funders.
  • User friendly interface for building grant applications and application review forms
  • Easy to securely involve partners in building and scoring applications
  • Helpful and responsive customer service representatives
  • I hope they are developing a feature where correspondance to applicants can come from our organization's website and not Submittable's
  • We'd like a more robust integration with DocuSign where forms can be populated with a range of fields and executed documents can easily be saved to the appropriate application file
Submittable is especially well-suited for any organization doing granting or subgranting to applicants.

At the time of purchase, our office administered 50+ different opportunities annually and the process was managed manually. We were a small team - 3 people - with one person assigned to manage the applications (we received approx 1500-3000 applications annually with 75-100 reviewers across the 50 applications).
  • Saves time (thousands of hours)
  • Efficient and easy for making/collecting/reviewing applications
  • Very little training needed to get started and maintain
  • Easy to use, excellent customer service
  • Pricing and the pricing structure
I highly recommend Submittable if your office manages applications. It saved us thousands of hours annually, it’s easy to learn, straightforward to setup applications, including unique applications, and easy for applicants to submit and track their applications (applicants can even save and return to their apps later, get automatic deadlines reminders, and track their app status). For reviewers, it’s easy even for non-tech savvy folks to review and rate app synchronously and asynchronously.
